Job description:

This role provides high-level administrative support to two senior finance executives, with responsibilities evenly split between both leaders. The Sr. Administrative Assistant will manage calendars, coordinate meetings, prepare communications, and maintain confidential documentation. Additionally, the role supports broader departmental initiatives, including project tracking, research, and documentation management. This position plays a key role in ensuring operational efficiency and alignment with departmental goals.

Key Responsibilities

  • Manage 2 executive calendars and coordinate internal/external meetings
  • Serve as a liaison between senior leadership and department managers
  • Draft and distribute meeting notes, letters, and email communications
  • Arrange travel and manage related logistics
  • Prepare and reconcile expense reports and invoices
  • Support onboarding processes and manage office supplies
  • Maintain organizational charts and assist with departmental events
  • Contribute to budgeting activities and meeting coordination
  • Assist in preparing materials for executive-level presentations and board meetings
  • Provide backup support to other executive assistants as needed
  • Develop and maintain Excel-based tracking tools (including pivot tables and formulas)
  • Create and revise PowerPoint presentations with visual enhancements
  • Run monthly expense reports and support internal meeting preparation
  • Conduct research and gather documentation for departmental projects

Collaborative Relationships
Works closely with internal finance teams and cross-functional departments. External interactions may include vendors, financial institutions, and auditors.

Qualifications

  • Education: Associate’s degree required; Bachelor’s degree preferred
  • Experience: Minimum 5 years in executive-level administrative support
  • Preferred Skills: Customer service experience is a plus
  • Technical Proficiency:
  • Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with Adobe Acrobat and Concur is beneficial

Additional Information

  • Travel: Minimal (0–5%)
  • Schedule: Full-time, standard business hours
  • Physical Requirements: Ability to lift/move up to 25 lbs occasionally
