Job Summary:

We are seeking a detail-oriented and customer-focused Warehouse & Customer Support Administrator to join a fast-paced team environment at a busy client site. This role is essential to maintaining service excellence through timely customer support, order processing, stock coordination, and strong communication with internal and external stakeholders.

The ideal candidate will be proactive, organized, and capable of managing multiple tasks efficiently while ensuring the highest levels of customer satisfaction and operational accuracy.


Key Responsibilities:

  • Build and maintain strong business relationships with new and existing customers.

  • Handle customer enquiries via phone, email, and face-to-face interactions.

  • Ensure excellent customer service is delivered at every opportunity.

  • Liaise with internal teams, suppliers, and customer contacts to resolve issues, expedite orders, and share relevant information.

  • Process customer orders, manage stock levels, track shipments, and update data in inventory management systems.

  • Generate and distribute reports related to inventory, order status, and customer activity.

  • Support stocktaking and cycle counting activities to maintain inventory accuracy.

  • Coordinate logistics for inbound deliveries and outbound shipments.

  • Maintain accurate documentation, including goods receipts (GRNs), delivery dockets, and system records.

  • Collaborate on production or special orders involving kitting, assembly, or other custom handling.

  • Escalate recurring issues or risks to appropriate channels, supporting process improvement initiatives.

  • Develop knowledge of the company’s product range and how items are used in the customer's environment.


Required Skills & Experience:

  • Prior experience in a similar administrative or warehouse support role.

  • Strong customer service skills with a proven ability to meet and exceed expectations.

  • Excellent communication, time management, and organizational skills.

  • Ability to prioritize, multitask, and work effectively under pressure.

  • Proficiency in Microsoft Office applications (Outlook, Excel, Word, PowerPoint).

  • Experience working with ERP or inventory management systems (SAP, Maximo, WMS, or similar).

  • Flexible, proactive, and solutions-oriented mindset.

  • Experience working with spare parts, technical products, or similar inventory is a distinct advantage.


Working Environment:

  • Fast-paced, hands-on environment within a customer-facing setting.

  • Some physical activity may be required in support of warehouse operations.

  • Based on-site with occasional cross-functional collaboration across departments.
