Human Resources Records Coordinator
We are seeking a highly organized and detail-oriented HR Records Coordinator to support the Human Resources team with the organization, review, and maintenance of employee personnel records. This role is responsible for ensuring employee documentation is accurately categorized, properly filed, and handled with the highest level of confidentiality while supporting compliance with company record retention policies.
Key Responsibilities

  • Review, organize, and prepare employee personnel documents for inclusion in official personnel files.
  • Identify and separate personnel records into designated categories according to HR Operations guidelines.
  • Utilize the UKG Human Resources Information System (HRIS) to locate employee identification numbers and accurately label documents for filing.
  • Review non-personnel documents (such as benefits, retirement, and other records) and coordinate with HR leadership to determine the appropriate retention strategy.
  • Scan and electronically stage documents requiring review by HR Operations, Employee Relations, or Total Rewards teams.
  • Maintain accurate and well-organized paper and electronic employee files.
  • Handle confidential employee information with professionalism, discretion, and strict confidentiality.
  • Collaborate with members of the HR Operations, Employee Relations, and Total Rewards teams to ensure proper document categorization, filing, and retention.
  • Support compliance with company policies and record retention requirements.
  • Perform additional administrative and records management duties as assigned.

Qualifications

  • Previous experience in Human Resources, records management, administrative support, or document control preferred.
  • Experience working with HRIS systems, preferably UKG, is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage high volumes of confidential documentation accurately.
  • Proficient in Microsoft Office, including Outlook, Word, and Excel.
  • Strong communication and collaboration skills.
  • Ability to work independently while meeting deadlines in a fast-paced environment.
