Warehouse Coordinator
Location: Phoenix, AZ
Job Type: Full-Time
Schedule: Monday–Friday, 8:00 AM–4:00 PM
Reports To: General Manager

Job Summary
The Warehouse Coordinator is responsible for supporting and coordinating day-to-day warehouse and fulfillment operations. This is a hands-on position that works directly on the warehouse floor while also managing order processing, shipping systems, freight coordination, inventory-related issues, and communication between warehouse operations, customer support, and management.
The ideal candidate is organized, dependable, and proactive, with strong warehouse experience and the ability to identify and resolve issues before they impact customers or shipping deadlines. This position requires someone who can work independently while communicating effectively with a small, fast-paced team.
Key Responsibilities

  • Manage daily order processing in ShipStation, including batching orders, creating shipping labels, reviewing shipping rates, and resolving order exceptions.
  • Ensure customer orders are processed accurately and shipped according to established fulfillment timelines.
  • Cross-reference orders between Salesforce and ShipStation to identify and resolve discrepancies before shipment.
  • Coordinate freight and LTL shipments, including rate comparisons, tracking, carrier communication, and claims.
  • Use My Carrier or similar freight management platforms to coordinate and monitor shipments.
  • Operate warehouse equipment, including automated box-forming/erecting equipment.
  • Assist with basic equipment troubleshooting and coordinate maintenance when necessary.
  • Work closely with warehouse team members to maintain efficient production and fulfillment flow.
  • Communicate order status, shipping delays, exceptions, and other fulfillment issues to customer support and management.
  • Partner with the General Manager on daily warehouse priorities, staffing coverage, workflow, and operational problem-solving.
  • Maintain a clean, organized, and safe warehouse environment following 5S and general housekeeping standards.
  • Assist with training and mentoring Warehouse Associates on warehouse procedures, equipment operation, safety, and quality expectations.
  • Cross-train with other Warehouse Coordinators to ensure appropriate coverage and continuity of operations.
  • Identify opportunities to improve warehouse processes, productivity, accuracy, and efficiency.
  • Maintain and update warehouse procedures, work instructions, and process documentation.
  • Assist with packing, labeling, palletizing, material handling, and other warehouse duties as needed.
  • Follow all company safety procedures and warehouse policies.

Qualifications

  • Minimum of 3 years of warehouse, shipping, fulfillment, or distribution experience.
  • Experience working independently or with minimal supervision in a warehouse environment.
  • Hands-on experience with ShipStation required.
  • Experience with Salesforce or another order/customer management system strongly preferred.
  • Experience with My Carrier or a comparable freight/LTL management platform preferred.
  • Experience coordinating small-package, freight, and LTL shipments preferred.
  • Strong computer skills and ability to learn warehouse and shipping software.
  • Strong written and verbal communication skills.
  • Comfortable using Slack or similar workplace communication platforms.
  • Strong attention to detail and ability to identify order or shipping discrepancies.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
  • Previous experience training, coaching, or informally leading warehouse employees is a plus.
  • Ability to work effectively alongside other Warehouse Coordinators and team members.
  • Self-motivated with a continuous-improvement mindset.
  • Dependable attendance and punctuality.

Physical Requirements

  • Ability to lift and carry up to 50 lbs repeatedly.
  • Ability to stand and walk for the majority of the shift.
  • Ability to bend, reach, push, pull, and perform repetitive warehouse tasks.
  • Ability to safely operate warehouse and packaging equipment.
