Position Overview

We are seeking a dynamic and engaging Accounting & Office Administration Specialist to take full responsibility for core financial processes while supporting daily office operations. This role is responsible for Accounts Payable and Receivable, banking deposits and reconciliations, expense reimbursements, general ledger data entry, and compiling financial data for the organization’s profit and loss statements.

In this position, you will support preparation for board meetings and financial audits, while also playing a key role in office management and overall administrative operations. This is a full-time, salaried position.

Key Responsibilities

Accounting & Finance

Accounts Payable (A/P)

  • Process vendor invoices, expense reports, and credit card statements
  • Verify accuracy, coding, and approvals; prepare payments
  • Maintain strong vendor relationships

Accounts Receivable (A/R)

  • Track incoming payments and follow up on overdue accounts
  • Maintain aging reports
  • Apply payments and resolve discrepancies

Banking & Reconciliation

  • Perform monthly bank reconciliations
  • Make deposits and monitor cash flow and banking activity
  • Investigate and resolve discrepancies

Budgeting, General Ledger & Reporting

  • Perform journal entries and maintain accurate general ledger records
  • Prepare month-end schedules, monthly P&L statements, and board reports
  • Create financial reports as needed

Compliance & Reporting

  • Support year-end close and financial audits
  • Ensure all monthly, quarterly, and annual filings are completed accurately and on time
  • Maintain compliance with all legal and financial requirements

Human Resources & Office Administration

  • Support HR functions including new hire onboarding, background checks, leaves of absence, benefits open enrollment and renewals, and maintenance of employee files
  • Support day-to-day office operations including office supplies, equipment coordination, meeting scheduling, visitor support, correspondence, catering, and company events

Qualifications

  • 2–5 years of experience in a financial operations role handling A/P, A/R, general ledger, software conversions, budgeting, reporting, and audits
  • Payroll processing experience, PTO reconciliation, and quarterly/year-end tax filings preferred
  • Bachelor’s degree in Accounting, Finance, or Business Administration strongly preferred
  • Continuous improvement mindset with the ability to follow established processes while identifying opportunities for streamlining and efficiency
  • Strong data entry and keyboarding skills

Required Software Experience:

  • HR/Payroll HRIS systems (ADP or Paylocity)

  • Accounting software (QuickBooks preferred)

  • Microsoft Office Suite: Outlook, Word, and intermediate to advanced Excel

  • Exceptional attention to detail and accuracy

  • Strong communication and interpersonal skills to thrive in a friendly, fast-paced office environment


Physical Working Environment

  • On-site role located in Hadley, MA, on the second floor of an office building (elevator access available)
  • Ample free parking provided
  • Primarily sedentary role with extensive computer work
  • Reliable transportation required for on-site work Monday–Friday, 8:00 a.m.–4:00 p.m., and occasional off-site organizational events

Salary: $60k-$80K
