Job Title: Jr. Project Assistant
Location: Phoenix, AZ
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Pay Range: $22 – $24 per hour

Overview

Are you ready to put your administrative and coordination skills to work in a dynamic and growing organization? We are seeking a Project Assistant to support our Engineering and Consulting teams. This entry-level role is ideal for someone who enjoys working in a fast-paced environment, coordinating between multiple departments, and interacting with clients and vendors to help keep projects moving efficiently.


Key Responsibilities

  • Provide administrative and scheduling support to consultants and engineers.

  • Conduct research to identify appropriate jurisdictional authorities, water purveyors, and other project stakeholders.

  • Coordinate with consultants and external partners to schedule appointments, site visits, and project milestones.

  • Set up and manage meetings with public authorities, vendors, and water purveyors as needed.

  • Assist with permit coordination and submission of required project documents.

  • Prepare, compile, and distribute project documentation and client notifications in accordance with specific client and jurisdictional guidelines.

  • Support communication between internal teams, contractors, and vendors to ensure timely progress and project accuracy.

  • Track deadlines and help maintain project documentation to ensure compliance and efficiency.


Qualifications

  • 1–3 years of experience in an administrative, project coordination, or construction support role.

  • Experience working with vendors, contractors, or construction teams is highly desired.

  • Strong customer service and communication skills — comfortable interacting with clients, vendors, and public officials.

  • Experience in fire consulting, fire protection, or permitting is a plus but not required.

  • Proficient with Microsoft Office Suite (Word, Excel, Outlook).

  • Strong organizational skills and attention to detail.

  • Ability to handle multiple tasks and prioritize in a fast-paced work environment.

  • High school diploma or GED required; associate degree or coursework in construction management, business, or engineering preferred.
