Position Summary

A leading engineering and consulting firm is seeking a highly organized, customer-focused Office Administrator to support the daily operations of its Atlanta headquarters. This role is ideal for someone who enjoys wearing multiple hats, thrives in a fast-paced professional environment, and takes pride in creating an organized, welcoming workplace.

The Office Administrator will be responsible for managing office operations, coordinating meetings and events, maintaining office supplies and equipment, and providing administrative support across multiple departments. This position will also assist with proposals, marketing materials, and special projects as needed.

Essential Responsibilities

  • Serve as the primary point of contact for visitors, vendors, and office deliveries.
  • Maintain office organization and ensure common areas, conference rooms, and workspaces are professional and well-stocked.
  • Order, track, and manage office supplies, kitchen supplies, and office equipment.
  • Coordinate office maintenance requests and communicate with building management and vendors.
  • Assist with planning and coordinating company meetings, employee events, celebrations, and Lunch & Learn sessions.
  • Schedule conference rooms and assist with meeting logistics, catering, and presentation setup.
  • Provide administrative support to leadership and various departments as needed.
  • Create and edit documents, spreadsheets, and presentations using Microsoft Office.
  • Maintain electronic and physical filing systems.
  • Process incoming and outgoing mail and shipments.
  • Support onboarding activities for new employees, including workspace preparation and office logistics.
  • Assist with special projects and other administrative duties as assigned.

Qualifications

Required

  • High school diploma or equivalent (Associate’s degree preferred).
  • 5+ years of office administration, executive support, or administrative experience.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to prioritize multiple tasks while meeting deadlines.
  • Professional demeanor with outstanding customer service skills.
  • Ability to work independently while collaborating effectively with a team.

Preferred

  • Experience supporting professional services, engineering, architecture, construction, or consulting organizations.
  • Experience formatting proposals, reports, or client-facing documents.
  • Familiarity with Adobe Acrobat and document formatting.
  • Event planning or office coordination experience.

Physical Requirements

  • Ability to remain seated or standing for extended periods.
  • Ability to occasionally lift or move office supplies and packages up to 25 pounds.
  • Ability to move throughout the office to support meetings, events, and day-to-day operations.
