The Office Manager role is a key role in the organization that spans collaboration with the various departments. The role is critical for the efficient operation of the organization and sets the tone for the office culture. This position works closely with the Treasurer and reports to the CEO. This position is an in-person position and does not offer remote working opportunities.
Major Responsibilities:
Managing the phone system
Greeting visitors cordially and ensuring appropriate client meeting set-up (conference room readiness, food and beverages, travel arrangements, parking etc.)
Managing calendars, travel, and scheduling internal and external meetings
Compiling expense reports
Binding client presentations and managing client mailings
Office filing, copying, scanning
Managing vendor relationships
Assisting with bookkeeping functions
Managing common areas and kitchen
Coordinating services with the building management
Coordinating office moves, repairs & maintenance, office décor and other space related special projects
Managing basic HR functions including on-boarding, benefit plans, office parties and fostering a collaborative and enjoyable working environment and culture.
Experience and Strengths:
3-5 years of experience with administrative functions
Proficient with Microsoft Office, Excel, Adobe and comfortable with technology as a whole
Team player who is results oriented; strong desire to get the job done
Excellent written and oral communication skills
Strong organizational and time management skills; ability to work efficiently and independently
High degree of initiative
High degree of professionalism and confidence; ability to interact with all levels of an organization
