General Duties and Responsibilities
           
   The purpose of the Parish Administrator is to supervise and facilitate the day-to-day administrative operations of the parish. This position requires an exceptional degree of professionalism and confidentiality. Under the supervision of the Rector, the Parish Administrator is responsible for the following activities:
           

  • Provide administrative assistance to the Rector;
  • Coordinate office, maintenance, and volunteer staff;
  • Facilitate the flow of information between all members of the paid and volunteer staff;
  • Oversee the maintenance and security of the campus;
  • Maintain the church calendar, and schedule the use of the facilities;
  • Maintain official church records and documents.

Qualifications:
 

  • College/technical degree and/or a minimum of 3-4 years business/administrative experience, preferably in a non profit or church environment; 
  • Warmth, hospitality, and a sense of humor. Comfortable working with a diverse population;
  • Good judgment, tact, sensitivity, diplomacy, discretion, maturity and ability to maintain confidentiality;
  • Excellent computer skills.  Constant Contact, WordPress, and Church Windows a plus.
  • Ability to keep many and varied projects and processes current, working both independently with minimal supervision and collaboratively as required;
  • Outstanding oral and written communication skills;
  • Strong organizational, decision making, and time management skills;
  • Ability to lead and supervise volunteer and paid staffs;
  • Adaptable to changing priorities, ability to multi-task.

Specific Responsibilities (including but not limited to):
 

  • The primary task is to serve as a communications center;
  • Keep the Rector informed and involved as necessary, resolving as many questions/issues/problems as possible on his/her behalf;
  • Organize and direct volunteers to meet parish administrative needs;
  •  Prepare weekly bulletin and Grace Notes newsletter;
  • Maintain and update the church website (WordPress);
  • Order and maintain general office and parish supplies;
  • Maintain parish register and parish databases;
  • Oversee functioning of staff computer network, voicemail, copiers, printers and other technology;
  • Schedule regularly occurring staff meeting;
  • Serve as coordinator and liaison for parishioners, parish commission and committee members, vestry, and clergy;
  • Oversee the coordination of daily functions for the parish; supervise security, maintenance, housekeeping and repairs;
  • Maintain the church calendar; schedule events, including space allocations and reservation and rental for those events.
